University Event Planning Process

A calendar has been set up to be used throughout the University to keep track of all events taking place across campus. All events outside regular teaching must be recorded here: Events Calendar.

The calendar enables everyone in the University to see what is happening on campus. Please ensure you view it before planning events in order to avoid any clashes.

Please complete the following information about each event:

  • Date of event
  • Start and finish time of event    
  • Staff contact     
  • School / Department    
  • Title of event    
  • Event type (please select from drop down list)  
  • Event Manager to oversee         
  • Rooms/space booked   
  • Times rooms booked from / to 
  • Catering required (Y/N)
  • PR team’s support required (Y/N)          
  • Number of guests expected       
  • Event open to (e.g. invited guests only, staff, students, public, anyone) 
  • Names of VIPs attending            
  • Will photography or filming take place?

You will also be asked if you have completed the external speakers log which is a mandatory requirement for any external speakers coming to speak at University events (whether these are held on, or off campus) in line with the University’s Freedom of Speech and External Speakers Policy.  A link to the log can be found on the events calendar.

There is also an events checklist available on the calendar which offers useful information about planning an event and lists who should be contacted for help with different issues.
