Annual Evaluation

Dear Colleagues,

As in previous years, the start of the new academic year also involves a reflection on the previous year via the Annual Evaluation process.  A review and update to the process has been undertaken by staff from CLS and PINS.  The major change this year is the automation of the Annual Evaluation form. The application has been developed in collaboration with key staff in Schools and Services. We would like to thank all staff involved in the process to date. This will deliver significant improvements in the consistency and effectiveness of the process and saving of time spent on basic analysis and comparison.

Changes for the 2014/15 cycle include:

  • Course health check data available at School and Course level. This will help AE Committees focus attention on courses requiring further scrutiny as well as identifying areas of good practice;
  • Online pre-populated form for Course Leaders to complete AE;
  • Functionality to record actions identified as required relating to aspects of the AE Report;
  • Redevelopment of course statistics. These will be presented within the online AE Report as a set of RAG-rated metrics, which should make it easier for course leaders and committee members to identify most important areas that need attention.

Implications for Schools

  • Instead of completing the existing Office Word proforma, Course Leaders will be required to complete the report via the online application;
  • Arrangements for Collaborative Provision remain unchanged;
  • The purpose of the report is to provide an opportunity to reflect on the quality of courses and identify any actions needed, as well as the opportunity to highlight good practice. It also provides tangible evidence of course review. A key emphasis for the 2014/15 cycle will be on providing examples of what aspects require commentary, how this should be stated and identification of actions to address these. Staff training sessions will include these elements.

Timing

The new application will be available week commencing 28 September 2015.  Colleagues will be able to access provisional data underpinning the application prior to this date in order to identify, analyse and prioritise areas requiring further investigation.  Annual Evaluation provisional data sets will be available on Thursday 17 September. These will remain provisional until 28 September 2015 as Schools continue to complete their data entry. Access will be available via the test server and is for the sole purpose of data analysis. From 28 September 2015 the test server will be switched off and should therefore not be used to create AE Reports.

Training

A number of events have been arranged with each School. These will be supplemented with additional sessions that staff can book on to via the Staff Development links below. School based sessions provide an overview of the application, walking through the steps involved in creating a report. There are also 4 practical sessions in October. These will take place in a PC lab and provide staff the opportunity to use the system and produce reports. These sessions are aimed at Course Leaders specifically.

AE Application – Lab Based Practical Session (Course Leaders)

We would encourage all staff involved in the AE process to attend at least 1 overview session, and course leaders to try and attend a practical session.
